Grants Manager

The Grants Manager reports to the Program Officer and works closely to support the entire Program Team.  The Grants Manager’s primary responsibility is the administration of the Foundation’s grantmaking.  Ensuring accurate, efficient collection and reporting of grantmaking data is essential. The Grants Manager communicates directly with applicants and grantees in meeting deadlines and providing technical assistance from letter of inquiry to final reporting.  The Grants Manager works in a small, collaborative team within a fast-paced environment. 

Responsibilities

  • Administration of the grants management databases including design, maintenance and oversight of workflow processes and procedures
  • Coordinate the transition and migration from Blackbaud/GIFTS to Foundant grantmaking software
  • Manage all information collection in Foundant, including coding and updating records
  • Ensure accurate and efficient collection and reporting of grantmaking data
  • Create templates and reports as well as track grantmaking statistics
  • Prepare data visualizations and internal reports
  • Manage letters of inquiry, grant applications, sponsorship requests, payments, reporting, and closeout of grants
  • Assist applicants and grantees with technical support throughout grantmaking process
  • Send official correspondence including invitations, declines, extensions, and modifications
  • Send and process grant agreements and grant payments
  • Schedule, track, and review progress reports
  • Prepare reports for staff, Advisory Committee and Board meetings
  • Prepare agenda and minutes for Advisory Committee meetings
  • Manage the matching gifts program for staff, Advisory Committee, and Board members
  • Responds to grant data requests and inquiries from internal and external audiences
  • Assists and participates in various internal Foundation committees and activities
  • Provides link between Program and Finance Teams
  • Works with Assistant Controller and Program Officers to ensure compliance with IRS regulations and Foundation requirements for grants
  • Maintain audit files for Finance team
  • Assist with the Foundation’s audit and tax returns
  • Undertake special projects as assigned

The Grants Manager is expected to work well with others and maintain courteous and professional communications with Foundation staff and external stakeholders. 

Minimum Requirements and Competencies

The minimum job requirements and competencies include: 

  • Bachelor’s degree 
  • Achieve a standard of excellence with the Foundation’s work processes, comply with policies and pertinent regulatory requirements 
  • Understand how to maintain positive community relationships and manage effective communication processes 
  • Be helpful, respectful, approachable and team oriented, build strong working relationships within a collaborative internal work environment 
  • Proficiency in Microsoft Office & Teams
  • Be receptive to feedback, willing to learn, and embracing continuous improvement  
  • Ability to prepare business correspondence, proposals, summaries, and reports using prescribed formats
  • Refined organizational skills utilizing time-management and project-management abilities with high attention to detail, accuracy, protocol and deadlines
  • Self-starter with the ability to prioritize and accomplish a variety of tasks and goals with little supervision 
  • Experience managing databases with a preference for candidates with experience using Foundant
  • Excellent communication, interpersonal, diplomacy, and customer service skills  
  • Strong logic, analytical and problem-solving abilities with solid understanding of complex data management
  • High level of discretion in maintaining confidentiality of sensitive materials and issues
  • Data visualization skills are a plus
