Reports to: Senior Program Officer 
Work Schedule: Full-time 
FSLA Status: Exempt 


Grants Manager 
The Grants Manager reports to the Senior Program Officer and works to support the entire Program Team.  The Grants Manager’s primary responsibility is the daily administration of the Foundation’s grantmaking; ensuring accurate, efficient collection and reporting of grantmaking data. The Grants Manager communicates directly with applicants and grantees in meeting deadlines and providing technical assistance from pre-application to final reporting.  The Grants Manager works on a small, collaborative team within a fast-paced environment. 

 

Responsibilities

  • Administration of the grants management databases including design, maintenance and oversight of workflow processes and procedures
  • Maintain Foundant grantmaking system through regular updates to applications and database design to align with foundation’s priorities and strategy
  • Manage all information collection in Foundant, including coding and updating records
  • Ensure accurate and efficient collection and reporting of grantmaking data
  • Create templates and reports as well as track grantmaking statistics
  • Prepare data visualizations and internal reports
  • Manage grant applications, sponsorship requests, payments, reporting, and closeout of grants
  • Assist applicants and grantees with technical support throughout grantmaking process
  • Send official correspondence including invitations, declines, and extensions
  • Send and process grant agreements and grant payments
  • Prepare reports and presentations for staff, Grants Committee and Board meetings
  • Manage the matching gifts program for staff, Grants Committee, and Board members
  • Respond to grant data requests and inquiries from internal and external audiences
  • Assist and participate in various internal Foundation committees and activities
  • Provide link between Program and Finance Teams
  • Works with Controller and Program Officers to ensure compliance with IRS regulations and Foundation requirements for grants
  • Assist with the Foundation’s audit and tax returns as necessary
  • General administrative assistance to Program Team
  • Undertake special projects as assigned

The Grants Manager is expected to work well with others and maintain courteous and professional communications with Foundation staff and external stakeholders. 

Minimum Requirements and Competencies
The minimum job requirements and competencies include: 

  • Bachelor’s degree 
  • Achieve a standard of excellence with the Foundation’s work processes, comply with policies and pertinent regulatory requirements 
  • Understand how to maintain positive community relationships and manage effective communication processes 
  • Be helpful, respectful, approachable and team oriented, build strong working relationships within a collaborative internal work environment 
  • Proficiency in Microsoft Office & Teams
  • Experience managing relational databases with a preference for candidates with experience using Foundant
  • Be receptive to feedback, willing to learn, and embrace continuous improvement  
  • Ability to prepare business correspondence, proposals, summaries, and reports using prescribed formats
  • Refined organizational skills utilizing time-management and project-management abilities with high attention to detail, accuracy, protocol and deadlines
  • Self-starter with the ability to prioritize and accomplish a variety of tasks and goals with little supervision 
  • Excellent communication, interpersonal, diplomacy, and customer service skills  
  • Strong logic, analytical and problem-solving abilities with a solid understanding of complex data management
  • High level of discretion in maintaining confidentiality of sensitive materials and issues
  • Data visualization skills and experience with Tableau are a plus
